What is a background check and why is it being conducted?
A background check is a vetting of a potential or existing employee’s background. Depending on the specified criteria determined by the employer, a background check can include but is not necessarily limited to financial, criminal, educational, employment history checks and other open-source information. It can also check your legal right to work and may require you to prove your identity and address.
The check is being conducted because your potential employer wants to assess your suitability for the role and ensure that you meet the requirements stated in the job description. It also helps them make informed hiring decisions by mitigating potential risks and protecting the company's interests.
It's important to remember that background checks are conducted fairly and in accordance with relevant laws and regulations.
Is my data safe?
Giant Screening is registered with the Information Commissioners Office (ICO) for data protection purposes and so are fully compliant with UK data protection laws when handling other people’s data across the EU. Our ICO registration number is ZA242124. You can view our data protection policy here. All our Information is stored securely in encrypted servers hosted locally in the UK.

How long will the background check take?
Unfortunately, there's no one-size-fits-all answer to how long your background check will take. The timeframe can vary depending on several factors, including:
- Type and Scope of Checks:
- Basic checks: Involving basic criminal records and employment verification might take 2-5 business days.
- Comprehensive checks: Including education verification, references, professional licenses, or international searches can take longer (up to several weeks).
- Data Availability and Response Times:
- Delays can occur if retrieving information from courts, educational institutions, or previous employers takes longer than expected.
- International checks face additional complexities due to varying data availability and communication channels.
- Complexity of Your Background:
- If you have an extensive employment history, lived internationally, or have discrepancies to clarify, the investigation might take more time.
- Provide accurate and complete information: Avoid delays by double-checking all details on your application forms.
- Respond promptly to requests: If contacted for additional information or verification, cooperate swiftly.
How will I know when the screening is complete?
You should be informed by our client (your employer) when the checks are complete.

Login Issues
How can I access my candidate portal and set up my login credentials?
- Giant will email you a link to the Giant Screening Candidate Portal: https://giantscreening.onlinesacs.com/candidate/login
- Click on the link and enter your Candidate ID provided by Giant.
- A verification code will be sent to your email address. Please check your email for this code.
- Enter the verification code in the portal.
- You will then be prompted to create your own username and password.
- Use these credentials (username and password) to login to the Giant portal.

How to reset my password?
- Access the candidate portal using the link provided by Giant: https://giantscreening.onlinesacs.com/candidate/login .(We recommend bookmarking this page to avoid being redirected to the Admin page).
- Click on the "Forgot Password" option.
- You will receive an email containing a link to create a new password. Please ensure to check all email folders, including junk or spam.
- Follow the instructions provided in the email to set a new password.
- After you have set your new password, you should be able to log back into the portal using your username and the new password.

What should I do if my login link to the candidate portal is not working?
If your login link is not working, please follow the steps outlined below:

What to do if I am unable to save and proceed to the ‘Name and Contact section’?
- Complete Essential Fields: Ensure all required fields are filled in accurately, including your name, date of birth, and National Insurance number.
- Verify Your Title: If the system requests additional names that you do not have, it might be related to your title. Here’s how to address it: For females: If you are using "Ms." or "Mrs." and have no other names, consider switching to "Miss" For males: Make sure your title is either "Mr." or "Sir." For individuals identifying as a third gender: Please select the most appropriate title or option available.
- Other Names: If you have had other names (such as a married name or previous names), please list these in the ‘Other Names’ section under ‘Name and Contact.’
- NI Number: Make sure you have inputted your National Insurance Number correctly, without spaces.
- Guernsey/Jersey National Insurance: If you have a Guernsey/Jersey National Insurance number and are having trouble entering it, please make sure you input your Guernsey social security number correctly, without any spaces.

What to do if I have a Gurnesy National Insurace Number and not UK National Insurace Number?
If you have a Guernsey/Jersey National Insurance (NI) number rather than a UK NI number and are encountering difficulties entering it into the Candidate Portal, please ensure that you are inputting your Guernsey social security number correctly, without any spaces.

I do not have any Other Name but the portal is asking to add one, How to proceed?
If the system requests additional names that you do not possess, it may be due to an issue with your title. Here’s how to address this:
For females: If you are using "Ms." or "Mrs." and have not had any other names, consider switching to "Miss."
For males: Ensure that your title is either "Mr." or "Sir."
For individuals identifying as a third gender: Please select the most appropriate title or option available.

What is an employment gap, and why is it important to include it in my screening application?
If your gap activity section requires a gap referee, you will need to provide the name, contact number, and email address of an individual who can confirm the details of your gap.

What is the process for updating the contact details of my referees in the screening application?
If you wish to update your referee details prior to submitting your application, please log in to your screening portal using your existing login credentials. Navigate to the 'Activity History' section, where you can amend the relevant employment reference.
Should you have already submitted your application, there is no need for concern. While you will be unable to update the referee details directly in the portal, you may still provide the updated information to Giant by sending an email at screening@giantgroup.com.
What steps should I take if I am unable to provide referee details for my previous employer?
If you do not possess any referee details of your previous employer, you may utilize dummy referee details, such as noemail@noemail.com. In such cases, Giant will make efforts to obtain the correct contact details and will send the reference request directly to your employer.

Uploading Documents
How to upload documents on the Giant portal?
If you are currently in the process of completing your screening application and need to upload a document, you will find an ‘Upload’ option in the relevant sections of the portal.
Should you have already submitted your application and now need to upload additional documents, please log back into the Candidate Portal. Navigate to the 'Required from Candidate' section. Click 'Upload' and select the appropriate document for submission.

How to sign the documents electronically?
To sign any documents on Giant Candidate Portal, you can follow the below easy steps:
- Open the Document: First, open the document that needs your signature. You’ll either click on a link or open it in DocuSign.
- Go to DocuSign: You’ll be taken to the DocuSign platform where you can add your digital signature.
- Find the Signature Spots: Look for the areas in the document where your signature is needed. Click on these spots to add your signature.
- Add Your Signature: You might be asked to draw, type, or upload your signature. Just follow the prompts on the screen to do this.
- Save and Proceed: Save the document, and you’re all set to proceed to the next step!

Instant Employment Verification
What is Instant Employment Verification (Formerly known as Fast Check) and how does it work?
Instant Employment Verification (Formerly known as Fast Check) allows you to connect your bank account, payroll and/or HMRC accounts via Konfir’s secure portal. This process allows us to verify your job and gap history.
This process takes approximately five minutes and is completely optional. It involves securely linking your online banking, payroll and HMRC accounts through our trusted partner, Konfir, ensuring that your information remains safe and secure. You can connect to all or one or two of the options
If all my previous employments have been outside the UK, should I still complete Instant Employment Verification Check?
If all your previous jobs were outside the UK, Instant Employment Verification (Formerly known as Fast Check) will not return any data as this is based on UK history. We advise to continue to connect if possible.
Digital Right to Work Check
What should a UK or Irish resident with a valid passport do if they encounter issues completing their Digital Right to Work check?
If you are a UK or Irish resident with a valid passport and are having trouble completing the Digital Right to Work Check, please ensure you upload a clear image of your current British passport, along with a well-lit selfie. If issues continue, try rescanning or retaking the photo.

What steps should a non-British national take for their Digital Right to Work check?
If you're a non-British resident, meaning you don't hold British nationality, you'll be required to provide a share code. If you don't have one, you can generate it using the Home Office's online service. Here's the link for your convenience: https://www.gov.uk/prove-right-to-work

Address History
What steps should I take if I am unable to provide my address history in the application?
If you are encountering challenges while entering your address history into the application, it is crucial to ensure that you provide a complete and accurate record of all your addresses over the past five years. Additionally, it is important that the dates for each address do not overlap, as this can lead to inconsistencies that may delay or complicate your application.
For example, if you resided at Address A from January 1, 2020, to March 31, 2021, and subsequently moved to Address B from April 1, 2021, to December 30, 2022, it is essential that the dates are listed correctly, without any overlap. For Address B, you should indicate the dates as April 1, 2021, to December 30, 2022.
A common error would be to mistakenly enter that you began living at Address B on March 31, 2021. This would overlap with the end date of your previous address, Address A, and could result in discrepancies in your address history, potentially complicating your application process.

What steps should I take if my current address is outside the UK and the portal requires a UK address?
If you are currently residing outside the UK and the application portal asks for a UK address, please be aware that this can be resolved by contacting Giant. You can reach our Candidate Support Team via the Candidate Hub, where Live Chat is available for immediate help.

DBS ID Check
What should I do if I don’t have a current passport or my passport has expired more than six months ago, and I’m unable to proceed with the screening application due to the Trust ID (IDVT - DBS) requirement?
To proceed with the DBS IDVT section, please ensure you have at least one of the following sets of documents:
M1A:
Biometric passport
OR
Biometric National Identity card from EU/EEA (excluding BRP cards as stipulated by DBS)
M2C:
All ICAO-compliant passports or identity cards (these do not need to be biometric)
WITH
UK/EU/EEA driving license, National ID card, or BRP card
If you don’t have any of the above documents, please skip the IDVT section and complete the rest of the form. You can log back in again to proceed with the rest of the application.

Can I complete the DBS Trust ID if I have a passport, but it has expired?
Unfortunately, you cannot use an expired passport to complete the DBS IDVT Trust ID verification. To proceed with this check, you will need a current, and valid passport

When the screening process is started by your employer, you will receive an email from giant screening with a unique candidate ID number.
Click here to enter your ID and get a code If you don’t receive the code within 3 mins, please click resend to generate a new one. You will need to create a password for the candidate portal. Once confirmed you will be able to login using your email address and the password you just created.
Your screening package has been selected by your employer, and you are required to provide the information and documents requested during the application form.
Until your screening application is submitted, you will receive at least 4 system generated reminder emails. These are set to a frequency confirmed by your employer and are escalated if no response is received.
Once submitted the screening process will begin, and we may contact you via email, text, and sometimes WhatsApp for further information or additional documents. We will always ask you to login securely to provide any further documentation. When your check is complete, you should be informed by our client (your employer).

How can I provide additional documents after submitting my forms?
During the screening and validation process, we may require further documentation. This could be because some documents were missing, or the documents you uploaded were not acceptable.
Login to the candidate portal and click on the tab “Required from candidate” to view the documents required. Click “upload” in the section called “other supporting documents.”
This could be any document requested during the screening process, such as Address ID, Proof of NI, Birth/Marriage certificate etc.
What questions will I be asked?
The questions we ask will vary based on the level of screening for the role. Generally, you'll need to provide basic information like your name, birth date, past addresses, and your work and educational background. We'll only ever ask for details that are relevant to your specific screening.

What are the acceptable documents to prove your Identity and address?
The most common documents that can be used to prove your identity are:
• passport
• biometric residence permit (UK)
• driving license photocard (full or provisional) (UK, Isle of Man, Channel Islands and EEA)
• birth certificate (issued within 12 months of birth) (UK, Isle of Man and Channel Islands – including those issued by UK authorities overseas, e.g. embassies, High Commissions and HM Forces)
• adoption certificate (UK and Channel Islands)
• marriage certificate (for proof of name change)
Please be aware that all ID documents must be current and in date, as well as show your full current name and date of birth.
The most common documents that could be used to prove your address are:
• valid UK driving license
• mortgage statement (issued in last 12 months)
• bank or building society statement (issued in last 3 months)
• bank or building society account opening confirmation letter (issued in last 3 months)
• credit card statement (issued in last 3 months)
• P45 or P60 statement (issued in last 12 months)

What does the credit check involve, and will it affect my credit score?
An employee credit check is a “soft check” and does not impact your credit score. The search is only visible to yourself. Although often referred to as a credit check it is in fact not a credit check, it only checks publicly available information, including: CCJs, bankruptcies, voluntary arrangements, decrees in Scotland and administration orders.
I know that screening may reveal negative details. What should I do?
Honesty is always the best policy, it's better to openly share any negative details when questioned instead of hiding them, as they might be discovered during the screening process. By giving authorization for the screening, you're affirming that all the information you've shared is true to your best knowledge. We recommend discussing any concerns or worries you have with your potential or current employer before the screening begins.
Will someone contact me if additional information is needed or if there’s a problem with my background check?
Once submitted, and during the screening process, we may contact you via email, Text, and sometimes WhatsApp for further information or additional documents. We will always ask you to login securely to provide any further documentation.

• The type of position you are applying for: Certain roles, like those involving financial handling or working with children, may require more extensive checks.

What rights do I have when it comes to my data?
We cannot conduct any checks against your name without your given consent. If you provide this consent as the data subject you have full access to your data and the associated rights that come with it through subject access requests (You can view our policy here) Subject Access Requests should be sent to DPA@giantgroup.com
You also have the right to correct any inaccurate personal data as well as the right to data erasure. As we are the data processor and your current or potential employer is the controller any request we receive will be forwarded to the controller.
Who will see the results of the background check?
The individuals who will see the results of your background check depend on the specific policies of the company conducting the check and the legal regulations in your region.
Here's a breakdown:
Primary Audience:
• The hiring manager or relevant decision-makers: They will primarily use the report to assess your suitability for the position and make a hiring decision.
• Human Resources department: They may review the report to ensure compliance with company policies and legal requirements.
Limited Access:
• Giant Screening, we will only access the information needed to conduct the check and compile the report.
• Government agencies: In some cases, specific regulations may require sharing certain information with relevant authorities (e.g., for security clearance checks).
