What is a background check and why is it being conducted?

A background check is a vetting of a potential or existing employee’s background. Depending on the specified criteria determined by the employer, a background check can include but is not necessarily limited to financial, criminal, educational, employment history checks and other open-source information. It can also check your legal right to work and may require you to prove your identity and address.

The check is being conducted because your potential employer wants to assess your suitability for the role and ensure that you meet the requirements stated in the job description. It also helps them make informed hiring decisions by mitigating potential risks and protecting the company's interests.

It's important to remember that background checks are conducted fairly and in accordance with relevant laws and regulations. 

Is my data safe?

Giant Screening is registered with the Information Commissioners Office (ICO) for data protection purposes and so are fully compliant with UK data protection laws when handling other people’s data across the EU. Our ICO registration number is ZA242124. You can view our data protection policy here. All our Information is stored securely in encrypted servers hosted locally in the UK.

How long will the background check take?

Unfortunately, there's no one-size-fits-all answer to how long your background check will take. The timeframe can vary depending on several factors, including:

  •  Type and Scope of Checks:
    • Basic checks: Involving basic criminal records and employment verification might take 2-5 business days.
    • Comprehensive checks: Including education verification, references, professional licenses, or international searches can take longer (up to several weeks).

  • Data Availability and Response Times:
    • Delays can occur if retrieving information from courts, educational institutions, or previous employers takes longer than expected.
    • International checks face additional complexities due to varying data availability and communication channels.
  • Complexity of Your Background:
    • If you have an extensive employment history, lived internationally, or have discrepancies to clarify, the investigation might take more time.
Tips for a Faster Process:
  •  Provide accurate and complete information: Avoid delays by double-checking all details on your application forms.
  • Respond promptly to requests: If contacted for additional information or verification, cooperate swiftly.

The Background Check Process

What should I expect from the screening process?

When the screening process is started by your employer, you will receive an email from giant screening with a unique candidate ID number.

Click here to enter your ID and get a code If you don’t receive the code within 3 mins, please click resend to generate a new one. You will need to create a password for the candidate portal. Once confirmed you will be able to login using your email address and the password you just created.

Your screening package has been selected by your employer, and you are required to provide the information and documents requested during the application form.
Until your screening application is submitted, you will receive at least 4 system generated reminder emails. These are set to a frequency confirmed by your employer and are escalated if no response is received.

Once submitted the screening process will begin, and we may contact you via email, text, and sometimes WhatsApp for further information or additional documents. We will always ask you to login securely to provide any further documentation. When your check is complete, you should be informed by our client (your employer).

How can I provide additional documents after submitting my forms?

During the screening and validation process, we may require further documentation.  This could be because some documents were missing, or the documents you uploaded were not acceptable.
 
Login to the candidate portal and click on the tab “Required from candidate” to view the documents required. Click “upload” in the section called “other supporting documents.”
This could be any document requested during the screening process, such as Address ID, Proof of NI, Birth/Marriage certificate etc.

What questions will I be asked?

The questions we ask will vary based on the level of screening for the role. Generally, you'll need to provide basic information like your name, birth date, past addresses, and your work and educational background. We'll only ever ask for details that are relevant to your specific screening.

What are the acceptable documents to prove your Identity and address?

The most common documents that can be used to prove your identity are:
•    passport
•    biometric residence permit (UK)
•    driving license photocard (full or provisional) (UK, Isle of Man, Channel Islands and EEA)
•    birth certificate (issued within 12 months of birth) (UK, Isle of Man and Channel Islands – including those issued by UK authorities overseas, e.g. embassies, High Commissions and HM Forces)
•    adoption certificate (UK and Channel Islands)
•    marriage certificate (for proof of name change)

Please be aware that all ID documents must be current and in date, as well as show your full current name and date of birth.

The most common documents that could be used to prove your address are:

•    valid UK driving license
•    mortgage statement (issued in last 12 months)
•    bank or building society statement (issued in last 3 months)
•    bank or building society account opening confirmation letter (issued in last 3 months)
•    credit card statement (issued in last 3 months)
•    P45 or P60 statement (issued in last 12 months)
•    council tax statement (issued in last 12 months)
•    utility bill (excluding a mobile phone bill) (issued in last 3 months)

What does the credit check involve, and will it affect my credit score?

An employee credit check is a “soft check” and does not impact your credit score. The search is only visible to yourself.  Although often referred to as a credit check it is in fact not a credit check, it only checks publicly available information, including: CCJs, bankruptcies, voluntary arrangements, decrees in Scotland and administration orders.

I know that screening may reveal negative details. What should I do?

Honesty is always the best policy, it's better to openly share any negative details when questioned instead of hiding them, as they might be discovered during the screening process. By giving authorization for the screening, you're affirming that all the information you've shared is true to your best knowledge. We recommend discussing any concerns or worries you have with your potential or current employer before the screening begins.

Will someone contact me if additional information is needed or if there’s a problem with my background check?

Once submitted, and during the screening process, we may contact you via email, Text, and sometimes WhatsApp for further information or additional documents. We will always ask you to login securely to provide any further documentation.

What information will be checked during the process? (Criminal records, education, employment, references, etc.)

The specific information checked during your background check depends on several factors, including:
•    The type of position you are applying for: Certain roles, like those involving financial handling or working with children, may require more extensive checks.
•    The company's policies and procedures: Each company has its own guidelines for background checks, so the scope can vary.
•    Local laws and regulations: Some regions have specific requirements for background checks based on the industry or occupation.
Here's a general overview of the information that might be checked:
•    Identity Verification
•    Criminal Records
•    Education Verification
•    Employment Verification 
•    Adverse Credit history
•    Driving record
•    Social media screening
•    Other Checks (Depending on the Position and industry ): for example Professional licenses and certifications: Verification with relevant licensing boards, Sanctions etc.

What rights do I have when it comes to my data?

We cannot conduct any checks against your name without your given consent. If you provide this consent as the data subject you have full access to your data and the associated rights that come with it through subject access requests (You can view our policy here) Subject Access Requests should be sent to DPA@giantgroup.com 

You also have the right to correct any inaccurate personal data as well as the right to data erasure. As we are the data processor and your current or potential employer is the controller any request we receive will be forwarded to the controller.

Who will see the results of the background check?

The individuals who will see the results of your background check depend on the specific policies of the company conducting the check and the legal regulations in your region.

Here's a breakdown:
Primary Audience:
•    The hiring manager or relevant decision-makers: They will primarily use the report to assess your suitability for the position and make a hiring decision.
•    Human Resources department: They may review the report to ensure compliance with company policies and legal requirements.
Limited Access:
•    Giant Screening, we will only access the information needed to conduct the check and compile the report.
•    Government agencies: In some cases, specific regulations may require sharing certain information with relevant authorities (e.g., for security clearance checks).
